Trade Partnership
The concrete difference it makes when your agency consolidates Japan business with one accountable, JATA-registered ground partner — instead of juggling suppliers, OTAs and one-off local contacts city by city, category by category.
Vb Japan DMC is a trade-only, JATA-registered Japan DMC — a locally based ground operator working exclusively with travel agents, tour operators and MICE buyers, never directly with the travelling public. That's the starting point. What it means in practice is the part worth explaining.
Most agencies build their Japan business the way it happened to grow — a hotel booked direct here, an OTA used for transfers there, a local contact found through a forum post for the one MICE group that needed venue sourcing. Each relationship works fine in isolation, but nothing is checked against anything else, no one owns the whole file, and every new booking type means starting from zero with an unfamiliar supplier who doesn't know your account.
Making Vb your preferred Japan partner means every part of that file — hotels, transfers, guiding, MICE, ryokan and onsen, ski and snow, weddings — runs through the same desk, quoted net, on the same commercial terms, with a point of contact who already knows your account rather than a fresh introduction every time. Your Japan business doesn't get more complicated as it grows; it gets simpler, because the same team already has the context for your next booking before you've finished the last one.
Behind every quote you receive from us: net rates negotiated and held directly with hotels, transport operators and activity suppliers across every region your client might visit — contracted on demand, not resold from a static third-party rate feed. We build and price the itinerary against your specific brief, reply within 24 hours of your first enquiry, and hold that quotation for 4 days so you have time to put it in front of your client.
Once confirmed, we manage documentation and confirmation vouchers, run airport meet-and-greet and ground transport on arrival, and stay reachable through a named point of contact and a 24/7 emergency line for the duration of the trip — so a delayed flight or a last-minute change is handled by someone who already knows the file, not a fresh support ticket read by whoever's on shift. You receive one invoice at the end of the trip, not a stack of separate supplier receipts to reconcile yourself.
Anyone can claim to be a reliable partner. Run these directly, not on trust from a homepage:
Verifiable registration and a real office are table stakes — most competent operators in this category can say the same. What actually differentiates one Japan partner from another shows up once you're past the credentials check.
We operate exclusively on a trade basis. We don't run a consumer-facing booking arm alongside the trade side — a structure some DMCs use that puts them in direct competition with the same agents sending them business. Your client relationship is never at risk from us, at any point in the file.
Ground services aren't handled by category in isolation. Hotels, transfers, guiding and experiences for the same client are planned as one file by the same desk, so a change to one element is checked against everything else before it's reconfirmed — not four separate bookings that happen to share dates and hope they stay aligned. And coverage isn't limited to the Golden Route: net rates are contracted on demand across all of Japan's 47 prefectures, not just the handful of cities most Japan DMCs default to.
Picture a typical brief: a family group needing hotels in three cities, a private transfer between two of them, a ryokan night, and a Mt Fuji day trip. Handled the ad hoc way, that's four separate suppliers — a hotel platform, a transfer company, a ryokan booking site, an activity provider — each with its own confirmation process, its own cancellation terms, and no one checking whether the transfer time actually works with the ryokan's check-in window.
Handled through us, that's one brief, quoted as one file: the hotels, the transfer, the ryokan and the day trip all confirmed against each other before anything is locked in, one invoice at the end, and one point of contact if the family's flight is delayed and the first transfer needs to shift. The difference isn't that any single element is unavailable elsewhere — it's that nothing has to be reconciled by you afterwards.
A preferred-partner relationship isn't sized to one booking type. An agency might start with a single FIT hotel enquiry and, over time, route ski bookings, a destination wedding, and an incentive group through the same desk — Hotels & Accommodation, Ground Transport & Travel Passes, Luxury FIT, Ryokan & Onsen, Ski & Snow, Destination Weddings and MICE & Incentive all run through the same commercial terms and the same team. Nothing about the relationship needs renegotiating as it grows — the terms that applied to the first booking apply to the fiftieth.
The relationship works both ways. A clear brief — dates, group size, budget range and any must-haves — gets a faster, more accurate first quote than a vague one, the same as with any supplier. Peak-season requests (cherry blossom, autumn foliage, Hokkaido's ski season) benefit from as much lead time as you can give us, since availability tightens fastest exactly when demand is highest. And routing requests through one consistent contact on your side, rather than several team members submitting overlapping briefs independently, is what lets the same person on our side build up the account context that makes the relationship faster over time.
None of this is a formal requirement — there's no contract locking you in and no penalty for sending us one booking a year instead of fifty. It's simply what makes the "preferred partner" difference real rather than nominal.
The same commercial structure applies whether the file is a single hotel room or a full MICE program: rates quoted net and non-commissionable, so you see exactly what something costs and set your own margin on top. A USD 100 contract fee secures each booking, fully credited against the final invoice. Payment runs in stages — 30% deposit within 3 working days of confirmation, balance due 45 days before departure, settled in JPY, USD, NZD or via Wise. Group bookings across any category qualify for the same FOC allocation, one complimentary place per 20 paying adults and two per 40. Cancellation follows one published schedule everywhere: 20% of total cost at 45 days or more before travel, 50% at 22–44 days, 100% at 21 days or fewer. Full detail is on our Partner Policy page.
Preferred partner — an agency that routes its Japan-bound business through one consistent desk rather than a rotating set of suppliers. No contract, no exclusivity clause, no minimum spend — the term describes a pattern of working together, not a signed status.
Net rate — the rate we quote you with no commission folded in. What you charge on top is up to you; your client never sees our number.
Single-file coordination — every category on one client's trip (hotels, transfers, guiding, experiences) planned and checked against each other by the same team, rather than confirmed independently and left to align by chance.
Named contact — a specific person accountable for your file throughout the trip, not a shared inbox or rotating support queue that starts from zero with every message.
FOC (free of charge) — a complimentary place on group bookings, standard practice across the trade: one per 20 paying adults, two per 40, applied to land arrangements.
Frequently Asked
It means routing your Japan-bound business through one accountable desk instead of juggling multiple suppliers, OTAs and one-off local contacts — the same team handles hotels, transfers, guiding, MICE and every other category, on consistent terms.
No — registration is free, with no membership fee or minimum-volume commitment. You can send your first brief immediately and judge us on how we handle it.
Booking a single hotel directly is straightforward. The value shows up across a whole file: negotiated net rates across many suppliers, one invoice instead of a dozen separate bookings, local crisis support if something goes wrong mid-tour, and group or MICE logistics that are impractical to piece together supplier by supplier.

No — there's no exclusivity requirement. Preferred-partner treatment is a function of routing your Japan business through one consistent desk over time, not a signed exclusivity agreement.
Yes — there's no minimum volume or trial period. Send one brief, judge the response, and decide from there whether to route more of your Japan business the same way.
Rates are quoted net per booking regardless of volume, so pricing itself doesn't change with account size — what changes is speed and consistency, since the team handling a repeat account already has the context to quote faster and catch conflicts a first-time supplier wouldn't.
